1) Don’t Know How Much Money We Are Spending

“We’ve fallen into bad habits. The researchers keep ordering supplies, reagents and chemicals in the hundreds; we keep paying for these things, but it’s so hard to track what was ordered and what was paid. I can’t update the spreadsheet every time someone buys something. It’s frustrating.”

2) Lack of Communication Holds Up Experiments

“We bought multi-well plates for an experiment. I had to halt the experiment for weeks because we thought the shipment had been delayed. Unbeknownst to everyone in the lab, the same plates had actually been delivered already and were lying somewhere in our storage room. Whoever received them neglected to tell us that the order had arrived. I wish there was something like a Facebook Notification every time my lab supplies arrived.”

3) It’s Almost Impossible To Keep An Audit Trail

“The Purchase Orders are in one place, the packing slips in another, and the invoices in another. When you place hundreds of orders a month, these documents keep getting lost, and it’s hard to store them in a central place. I wish there was some easy way to know what was ordered, who ordered it, for what price, and why — these are questions our auditors would ask us, and, at the moment, we have no way of answering them.”

4) No One Wants To Use Purchase Orders

“Our biggest failure is credit cards — everyone in our lab uses them whenever they want to buy something. The problem with credit cards is that no one thinks twice about using them. Our researchers and lab assistants need things fast, and they can’t lose time in getting their purchases approved before making the payment. We tried to get them to use Purchase Orders, but email-based approval is a huge time constraint.”
